People picture this as a technical process. Plug in the AI, point it at the website, done. The plugging-in part takes about an hour. The part that decides whether it works takes a week, and almost none of it is code.

Here is what actually happens when we build a custom AI rep, in order, so you know what you would be signing up for.

Step 1: We find out what you get asked

Not what your website says. What people actually ask.

Those are rarely the same list. Your site talks about services and coverage areas. Your customers ask whether you can come Saturday, whether the estimate is free, whether you take card, and whether you handle the specific weird thing they have.

We go through your last few weeks of enquiries with you and pull out the twenty questions that keep repeating. That list is the backbone of the whole build.

The one that always surprises people: the single most-asked question is usually not addressed anywhere on their website.

Step 2: We capture how you answer them

This is the step that separates a custom AI rep from a scraper, and it is the step most vendors skip because it requires talking to you.

A bot trained on your website answers like your website. Formal, general, hedged. A custom rep should answer the way you would if you picked up the phone.

So we get the real answers. Not "we offer flexible scheduling," but "yeah, we can usually do Saturday morning, it's an extra fifty, and I'd need to know roughly what we're dealing with first." The second one sounds like a person, converts better, and is more useful.

Step 3: We decide what it must never do

This is the safety work, and it is where a careful build separates from a quick one.

Every rep gets explicit boundaries:

  • Never quote a firm price on a job it cannot see. It gives ranges and captures the details instead.
  • Never guess. If it does not know, it says so and gets the contact, rather than producing something plausible.
  • Never promise a timeline you have not agreed to. No "someone will be there within the hour" unless you said so.
  • Never discuss anything outside your business. Redirect politely and move on.

Bots do not fail by refusing to answer. They fail by answering confidently when they should have handed off. Deciding in advance where those handoffs sit is most of what makes one trustworthy.

Step 4: We build the knowledge base

Everything from steps one to three becomes a structured knowledge base: services, pricing logic, coverage area, hours, policies, the questions and the real answers, and the escalation rules.

Two things worth knowing about where this lives:

It stays on our servers, not on your website. Your page only ever holds a public site key. That means the thing we built for you cannot be copied off your page by a competitor viewing source, and when we improve it, the change reaches your site instantly with nothing for you to reinstall.

It is versioned. When your prices change or you add a service, that is an edit, not a rebuild.

Step 5: We try to break it

Before it goes anywhere near a customer, we ask it the awkward questions.

The ones designed to make it guess. The ones with a false premise buried in them. The ones where a customer is annoyed. The ones asking about a service you do not offer. The ones trying to get it to talk about something unrelated.

Every failure is a rule to fix. This is also where you get to see it get something wrong, deliberately, in front of you, which we would rather do now than have you discover it in month two.

Step 6: One line of code

The install itself is genuinely trivial. A single script tag on your existing site, or we place it for you if you would rather not touch it. Wix, Squarespace, WordPress, Shopify, custom builds, all the same.

You do not need a new website for this. If your current site is doing its job, keep it.

Step 7: The part that never ends

A rep that is never looked at will drift. Prices change, services change, and real customers ask things nobody anticipated.

So the monthly is not a hosting fee with a markup. It covers monitoring what it was asked and how it answered, correcting the answers that missed, refreshing the knowledge when your business changes, and the weekly digest that tells you what your customers are actually asking about, which is a genuinely useful read on your own market.

How long it takes

Seven to fourteen days for most builds. The gating factor is almost never us. It is how quickly we can get steps one and two out of your head.

The question to ask yourself first

Before any of this is worth doing:

What question do you answer over and over, that costs you a customer when nobody is there to answer it?

Name that one, and you already know what the rep is for. If nothing comes to mind, the honest answer is that you probably do not need this yet, and we would tell you so.
